Start an inspection

When your customer returns the vehicle, it’s your turn to inspect it and close out the rental. Here’s what’s involved.

Once your customer confirms their return and completes their checkout photos, the rental moves into a status waiting on you. From your activity hub, open the rental and start your inspection — you’ll have a configured window of time to complete it (the current default is 24 hours from return).

If you don’t complete the inspection within that window, the system automatically closes the rental as no damage, so it’s worth completing your review promptly.

Return photo checklist

As part of your inspection, compare the vehicle against the same set of required photos captured at both pickup and return:

  • All four exterior corners of the vehicle
  • The rear of the vehicle, including the license plate
  • The instrument cluster, showing the odometer reading
  • The VIN tag
  • The seats and interior
  • The headliner (interior roof)

Use these side by side with the customer’s return photos to check for any new damage or issues before you record your result.

Closing the trip with no damage

If everything checks out and there’s no damage or other issue to report, mark the inspection as no damage. This closes out the rental and makes it eligible for:

  • Financial close and invoicing
  • Release of the customer’s security hold, according to provider and configured timing
  • Your payout for the rental
  • The rental appearing in history for both you and the customer
  • Rating the customer

How to report damage after return

If you spot physical damage, or another issue like cleaning, fuel, or a mechanical problem, you can file a report instead of closing the rental as no damage. When you do:

  • Submit the required evidence (photos and details) documenting the issue
  • Your report moves the rental into the applicable review path rather than closing it out immediately
  • The evidence you submit, along with the customer’s original return photos, stays linked to the rental for review

How long you have to file a damage claim

You can only report damage or another issue within the configured reporting window after the customer’s return — this is set by RNTLS Administration and may include an associated cleaning fee where applicable. Once that window closes, you won’t be able to file a new report against that rental, so it’s important to complete your inspection and any reporting promptly after return.
