Sub-Users & Roles
If you have staff who need access to the shop portal, you can create sub-user accounts and control exactly what each one can see and do.
How to create a sub-user
Before adding a sub-user, make sure you’ve defined the role you want to assign them (see below). To create a sub-user, you’ll set them up with their own account and assign them an authorized shop role. Once created, they’ll show up in your sub-user list along with their name, unique email, assigned role/department, and Active/Inactive status.
You can search your sub-user list by name, email, or role, and filter by status — handy once your team starts to grow.
Assigning roles & permissions
Roles are what determine a sub-user’s access. When defining a role, you’ll give it:
- A unique role name
- An optional description
- At least one permission — a role can’t be saved with no permissions selected
Permissions are granular and cover areas like:
- Rent management
- Financials
- User management
- Incident/replacement visibility
- Shop-profile access
The role editor includes a “Select All” option if you want to grant broad access quickly, while still letting you fine-tune individual permissions as needed.
Managing sub-user profiles
Once a sub-user is created, you can go back and edit their details, or activate/deactivate their account at any time — for example, if someone leaves your team, deactivating them removes their portal access without deleting their record.
Each sub-user also manages their own profile and account-security information, within the capabilities their assigned role permits.
Sub-user notification based on permissions
A sub-user’s notification center is filtered to your shop and scoped to the permissions their role grants — so they’ll only see notifications relevant to the areas they’re authorized to work in, not everything happening across your shop. This keeps each team member focused on what matters to their role, and keeps sensitive information limited to the people who should see it.
