Rentals Follow-up And Tracking

Once rentals start coming in, your rental list and each rental’s details are where you’ll keep track of everything happening across your shop.

Viewing active, Upcoming & Pending rentals

Your rentals list shows every rental tied to your shop, and lets you distinguish between the following statuses:

  • Pending — The rental request has been created and sent to the customer, but they haven’t confirmed it yet. Nothing is charged and no vehicle hold is placed until the customer accepts.
  • Upcoming — The customer has confirmed the rental, the security hold has been placed, and it’s waiting on pickup/drop-off. This covers the period between confirmation and the rental actually starting.
  • Active — Pickup is complete and the rental is currently in progress.
  • Returned/Completed — The vehicle has been returned, the Car Owner’s inspection closed with no unresolved issue, and the rental has reached financial close.
  • Cancelled/Refused — The rental didn’t move forward, either because the customer rejected the invitation, it was cancelled before it started, or RNTLS Administration cancelled it.
  • Extended — Not a separate status on its own, but a rental (usually Active) that has an approved extension attached, pushing its return date out.
  • Incident-affected — Also not a separate top-level status, but any rental with a linked damage or accident report. Depending on how the incident resolves, the rental may end up marked DAMAGED, ACCIDENT_CLOSED, or simply continue through its normal lifecycle once the report is cleared.

This gives you a quick way to see what needs attention versus what’s simply in progress or already closed out.

Tracking real-time rental status

Open any rental to see its full details — the customer, vehicle, dates, locations, current status, and activity history along with role-authorized payment, invoice, extension, early-return, and incident information tied to that rental. This is your go-to view for checking exactly where a rental stands at any point.

Monitoring extensions & early returns

If a customer requests an extension or an early return, it’s reflected in that rental’s details and activity history as it moves through its workflow. For extensions specifically:

  • You can create an extension request yourself for an eligible active rental.
  • If a customer requests an extension that involves your shop as payer, you’ll receive that request and decide the payer stage before it moves forward.

Receiving & handling incident notifications

If a customer reports an accident or another incident during one of your shop’s rentals, it’s reflected directly in that rental’s details — including the evidence submitted and how the incident is progressing. Keep an eye on your rentals list for any rental flagged as incident-affected so you can follow along as it’s resolved.
